Apostille for company documents

An apostille for company documents may be needed for international transactions, registering a company abroad, banking procedures or legal representation.

For company documents, it is important to clarify the complete document list and destination country. If the client has instructions from the receiving authority about translation or certification, we take them into account.

PFAT assesses the document and prepares it for submission. Since 1 July 2019, apostilles for public documents in Latvia are issued by sworn notaries. Requirements can vary by country and receiving authority, so also check the current procedure in the official sources.

Before submission

Company documents: we check the whole set, not just one page

Company documents often require several attachments, extracts or powers of attorney. Before preparation, we review the document set; if the client has instructions from the receiving authority, we take them into account.

1

Document list

If the client has received a document list from the receiving authority, we check the completeness of the set being prepared.

2

Certifications

Based on the document and provided requirements, we clarify which services are needed: notarisation, an Apostille, legalisation or translation.

3

Translation

We align terminology and language across the whole document set.

Company document set

For company documents, it's important not to lose any attachments

Company documents often consist of several extracts, articles of association, resolutions, powers of attorney or certificates. Before the apostille, we check the list against the requirements the client has confirmed with the receiving institution.

List

All documents together

If the client has received instructions from the receiving authority, we check which documents need to be certified and submitted together.

Translation

Consistent terminology

We align company names, job titles and legal terms across the whole set.

Deadline

Planning for the company

If the documents are needed for a transaction, we align the deadline with the submission date.

FAQ

Frequently asked questions

Do company documents need translation?

Often yes, especially if they are submitted to foreign institutions or partners.

Is an apostille enough?

This depends on the country where the document will be used. In some cases, legalisation or additional certification is required.

What is an Apostille?

An Apostille confirms the authenticity of a public document for use in countries applying the Hague Convention.

Can I send a document remotely?

Yes, a photo or PDF is enough for the first assessment, although the original may be required later.

Can apostille preparation be handled remotely?

Part of the preparation can start remotely after reviewing a photo or PDF of the document. If the original is required, we explain it before the next step.

Should translation or apostille be done first?

The correct order depends on the destination country and the receiving institution. We check whether apostille, translation, notary certification or legalisation should come first.

Can company documents be prepared one at a time?

Yes, but it's safer to first check the full list of documents so nothing is missing from the submission set.
